Overview
The article describes how to find and/or assign the Department name for OFC users.
Essential Information
- A Department name is needed for the user to allow them to be assigned as a project/award.
- A Department name is not always automatically assigned to all OFC users or users.
- The issue is that some users don't have department assigned when their profile is created due to:
- User has an affiliate account.
- Department in UCPath doesn't match w/ OFC department name.
- Department is a new department.
- User did not have department assigned previously.
- When one of the use cases above happens, rather than assigning no department, the integration will assign a dummy department called "None."
- If a user looks up their person info in Oracle, department will show "None" instead of it being empty or blank.
Next Steps
1. Go to Oracle Financials Cloud and log in.
2. Click on the Navigator button at the top left corner of the OFC home page.
3. Click the Tools section to open it.
4. Click Directory icon
5. In the search field highlighted below, enter person name, department, job, phone, other keywords to search for the person, and then click the magnifying glass button to continue.
6. Click on the name of the person to view details.
7. If no Department is listed under the person's information is displayed or the department listed is not correct, then continue to the next step.
8. Go to the Budget & Finance Submit a Ticket form and then enter the following information:
- About: Access Requests to Financial Systems
- Related to: Oracle Financial Cloud
- More Specifically: Oracle Financials Cloud (Access and Role Inquiries)
- Subject: Need Directory Assigned
- Description: Please assign [Department's name] as my Department in OFC Directory
9. After case is submitted and completed, repeat steps 1 to 7 and confirm the department name is assigned under the Department section.
