How to Run and View Project Balances with Expenditure Details

Steps to Take


To Access this Report from the Oracle log-in screen

  1. On the OFC Homepage, select Tools
  2. Select Reports and Analytics
  3. Click Browse Catalog
  4. Click Shared Folders > Custom > Projects > Project Balances with Expenditure Details
  5. In Project Balance with Expenditure Details Dashboard, click Open

To Access and Run the Project Balance and Expenditure Details Dashboard from bah.ucsd.edu

1. Find this report link from https://bah.ucsd.edu/ then select Budget and Finance > Projects and Awards Panoramas > Project Balance and Expenditure Details Dashboard 

2. After selecting the report link and completing Oracle SSO, the user will be directed to the All Projects tab with list of parameters

3. There are 2 Summary level tabs: 

a. All Projects tab

b. Sponsored Projects tab

4. There are 3 Transaction Detail level tabs:

a. Expenditure Details tab

b. Commitment Details tab

c. Revenue Details tab

                 

5. By default, the All Projects tab is displayed with Project Status set to Active, which means Closed Projects are not included

a. In order to run the report for all Projects, in Project Status, select All

b. By default Inception to Date Summary details are displayed for all Projects

6. All Projects tab is recommended when trying to review all Project types at once

7. Select necessary prompt values, beginning with Project Organization, Project Manager, etc. based on the need and click Apply

a. Inception to Date Summary information is displayed per the prompt selections

b. Scroll down for Monthly Expenditures

c. To view data, in Choose a Table Style, select a table style, e.g. Pivot Table

8. The Sponsored Projects tab is used to view Project and Task summary by Expenditure category and includes all prompts available from the All Projects tab plus Award level information prompts like Award Number, Award Owning Organization, and PI

a. Select necessary Prompt values based on the need and click Apply

b. Inception to date Summary information is displayed as per the prompt selections

c. Scroll down for Monthly Expenditures

d. To view data, in Choose a Table Style, select a table style, e.g. Pivot Table

9. Expenditure Details, Commitment Details and Revenue Details tabs can be used to view transaction details

a. Select necessary Prompt values based on the need and click Apply

10. To export the data to Excel, click on the gear icon at the top-right corner

11. Click on Export to Excel, and select Export Current Page, do not select Export Entire Dashboard

12. To add the dashboard to your Favorites, click on Favorites and click Add to favorites
