Overview
This article provides instructions on how to access the Logistics Portal and locate packages or freight within the UC San Diego delivery system. This guide does not require you to have the tracking number and utilized Advanced Search.
Critical Concepts
- Logistics Portal: The central platform (logistics.ucsd.edu) used to track the chain of custody for items arriving at the university
- Tracking Number (TRK#): A unique alpha-numeric ID assigned by carriers (UPS, FedEx, Amazon) or generated by the Logistics system (e.g., SCL12345678)
- 7835 Trade Street: The off-campus hub where Logistics personnel, known as Receivers, process inbound packages from external carriers
- Distribution: The unit responsible for the final delivery to campus departments, performed by Drivers
- Status Updates: Digital breadcrumbs (e.g., "Received," "Staged for Delivery") that provide transparency regarding an item's current location and ownership
Steps to Take
Accessing the Logistics Portal
- Navigate to logistics.ucsd.edu in your web browser.

- Click Log in with UCSD Single Sign-on (SSO).
- Enter your Active Directory (AD) credentials to access the landing page
- Note: It is recommended to save this page as a favorite for future use
Searching without a TRK#
Use this procedure to find packages and freight assigned to a specific person, building, room, or PO number.
- From the Portal home page, click the Tracking: Logistics to Campus image, this will redirect to the Search screen

Set the Search Type
- Click the drop-down arrow to expand the field for Search Type options
- Current Assets: only the most recent status update for an item is displayed
- Historical Assets: timeline of events and chain of custody details
- Notes will include storing conditions and is best used for individuals expecting perishable items
- Historical Current Assets: N/A

Set Filters on the Sidebar: Filters
- Click the double-chevron above the word Search in the upper-left corner or click on Select Filters in the center of the page
Set Filters - Modify filters by clicking on the Filters sub-heading to see a list of filters, including:
- Date: select a preset range (Last 7 Days, Last Month, etc.) or scroll to the bottom of the menu for a custom range
- Recipient and Location: both the recipient and location filters can be used to locate a package. You can search by the recipient's name or the specifci locations where the package was delivered
- Important Formatting: when searching by recipient, you must use the format Last Name, First Name (e.g., Smith, Jane); otherwise, the system will not return any results
- Click the drop-down arrow for Item Info and select Add Filter
- Update the following variables:
- Type: Choose a variable to search by such as Building, Label Note, P/O Number, Recipient Name, Room, Vendor
- Operator: determines how the search is filtered for Type (e.g. does it contain or equals, etc)
- Value: the information searched for by Type
- NOTE: Multiple filters can be added to help refind results. After completing one filter, click +Add Filter to stack a new one
- Example: To refine a search for perishables delivered to [INSERT NAME] you may use the following filters

- Scroll down the sidebar and click Apply to view the results
- Select Item ID (aka the TRK#) to view details
- NOTE: It is recommended to open Item ID details in a new tab, when searching through multiple records to prevent filters from resetting
- Your search results will appear!

- The following sections will help you interperet the results from your search.
How to Review Package History: Latest Update
- Review the Latest Update section for the current status and destination recipient
- Current Status: the status most recently assigned to the TRK#
- Last Modified: the system time stamp applied when the Current Status was updated
- Updated by: the Receiving & Distribution team member that updated the Current Status
- Current Location: how the Current Status was last updated, such as a Driver's handheld or Receiving & Distribution's computer
- Destination: who the package was addressed to

Review Package History: Status Updates
- Review the History section to see all status updates and timestamps for the referenced tracking number
- Most status updates are accompanied by an email to the recipient; however, some are for internal tracking and emails are not sent
- Review the columns for details on history and current status of the item
- Status: the item's current status
- Carrier: the external carrier that delivered the item to 7835 Trade Street
- Destination: the recipient name assigned to the TRK#
- Building - Room: the building, room and lab the items were addressed to
- Date: the time stamp for the most recent status update
- Signature: the signature of the recipient, captured at the time of delivery (if applicable)
- Photo: the image taken when the item was delivered
- Attachments: pick up slips or MSV job number attachment

Review Package History: Details
- Check the Details sidebar for the P/O Number, Label Notes (perishable info), and Additional Info
- P/O Number: the purchase order number applied to the package
- Label Note: a field used by Receivers to communicate information including perishable storage conditions (e.g., Refigerate, Frozen, and Deep Freeze)
- Additional Info: a field used by Receivers to record important information such as correspondence with recipients, suppliers, etc.

- Empty fields are not shown by default; however all fields can be used by activating the Show Empty Fields toggle directly in the Details heading
How to Change Columns in Search Display
You can customize the display of your search results to provide more details by adjusting the Column Options
- Select Column Options located above the search results header row
- Add column variables
- Type into the search field to see a list of applicable selections
- Scroll through the filtered options to find the one(s) you wish to apply
- Select the check box adjacent to the option name to add it to the Output Columns
- Click Apply to update search results

NOTE: Column Options can be reordered before and after applying results by dragging and dropping
