Overview
Kaltura allows users to replace the video source behind an entry. This allows you to preserve all of the original entry's metadata (title, description, tags, etc.). This can be particularly handy if you've embedded the video on a web page somewhere, since replacing the video will prevent you from having to re-embed it.
These instructions apply to all Kaltura users at UCSD with active directory credentials (instructors, students, staff, etc.).
Videos can be replaced in Canvas as well as in MediaSpace.
Critical Concepts
Things to keep in mind:
- It may take a bit. Your replacement video may not be available for viewing immediately after replacement, as Kaltura analyzes and transcodes the new video file.
- Until the replacement video has been processed, your old video will still play. In some ways it kind of looks like nothing is happening after you replace your video. Once the replacement video is done processing on the back end, your video will switch to the new version. One way you can tell if the video is still processing is to visit the "edit page" - the page you land on when you click the pencil icon in anything in "My Media." In a gray box next to the video, you'll see "Replacement in progress" for the "media asset update date."

- Be sure to wait until the video has completely uploaded, so you can click "Approve Replacement." When you elect to upload a replacement to a Kaltura entry, there's an additional step you have to take, namely to click "approve replacement." So don't just leave the page after you've finished uploading your replacement.
- Your captions may need to be updated. Depending on how much you did to your video, it's possible you'll need to update your captions. Check out our tutorials on Kaltura captions if you need to:
- You can replace any media type, but you have to replace it with the same type of media as the original. So you can replace an audio-only entry with another audio file, but you can't, say, replace a video with an audio file. We've written the instructions assuming you're trying to replace a video.
Steps to Take
Whether you're in Canvas or MediaSpace, you'll need to get to "My Media."

- Log into Canvas.
- Go to https://canvas.ucsd.edu.
- Enter your active directory credentials.
- Within Canvas, click My Media in the left navigation.

- Log into MediaSpace.
- Go to https://mediaspace.ucsd.edu.
- Click the profile icon at the top right of the page and select Login.
- Enter your active directory credentials.
- Click the profile icon again and select My Media.

- Find the video in question and click the pencil icon on the right side of its row.
- Click Replace Media under the video preview.
- Click Choose a file to upload.

- Select the video on your computer that you want to upload.
- Wait for the upload to complete, then click Approve Replacement. You'll see a message at the bottom of the screen that indicates that your media is being processed.
