Add Collaborators to Kaltura Media

Overview

Kaltura allows you to add specific other UCSD community members as "collaborators" for any piece of media. You can allow them to publish, edit, or just view your media, but in any of those cases they'll see it in their "My Media."

These instructions apply to all UCSD Kaltura community members with active directory credentials.

Collaborators can be added in Canvas or in MediaSpace.

RoleDefinition
Co-ViewerCan see your video in their "My Media" but can only view it.
Co-PublisherCan see your video in their "My Media" and publish it to other courses (Canvas) or channels (MediaSpace) of which they're a member. Not able to edit the entry.
Co-EditorCan edit all the details of your video - title, description, captions, etc - and download it. Not able to publish it.

Steps to Take

You can add individual collaborators from the "edit page" in both Canvas and MediaSpace, but you can bulk-add collaborators (i.e. add the same collaborators to multiple entries) in MediaSpace only.

Add Collaborators from the Edit Page (Canvas / MediaSpace)

In CanvasIn MediaSpace
  1. Log into Canvas.
    1. Go to https://canvas.ucsd.edu
    2. Enter your active directory credentials.
  2. Within Canvas, click My Media in the left navigation.
  3. Locate the video whose captions you want to edit, and click the pencil icon in its row.
  1. Log into MediaSpace.
    1. Go to https://mediaspace.ucsd.edu
    2. Click the profile icon at the top right of the page and select Login.
    3. Enter your active directory credentials.
  2. Click the profile icon again and select My Media.
  3. Locate the video in question, click the kebab on its row (three dots), and select Edit
  1. Locate the video you want to share, and click the pencil icon on the right side of its row.
  1. Click the Collaboration tab under the video preview.
  2. Click + Add Collaborator.

  1. Search for and select the username of whom you'd like to add as a collaborator. (Remember that they need to have a Kaltura account in order to find them, as mentioned in the "critical concepts" section above.)
  2. Identify the role(s) that you want the other user to have. (Use the descriptions above if needed.)
  3. Once you've identified the user and the role, click Add. You'll be brought back to the previous screen and you should see the user listed with the appropriate role below.

You can revoke the permissions that you've provided to any collaborators by removing them from the respective role in the table at the bottom of the "Collaborators" page.

Bulk-Add Collaborators (MediaSpace Only)

For now, you can only add collaborators to multiple entries at the same time in MediaSpace. As a reminder, all UC San Diego community members have access to MediaSpace.

  1. If you're not already logged into MediaSpace:
    1. Go to https://mediaspace.ucsd.edu
    2. Click the profile icon at the top right of the page and select Login.
    3. Enter your active directory credentials.
  2. Once in "My Media," click the checkbox next to each entry to which you'd like to add the same collaborators. You may need to use Kaltura's search and filter features in order to get them all on the same page.
  3. Click the kebab (three dots) near the top of the screen, select Add/Remove collaborators, and then Add collaborators.

  1. Select the checkbox for the role(s) you'd like your collaborator(s) to have. (See the table above if you need a refresher.)

  2. Enter the username for the collaborators, one at a time. You'll need to select each user from the list that populates. (Note that while you can search by name, it's much more reliable to search by username.)

Can't Find a User?

In order to add a collaborator in MediaSpace, they have to have logged in at least once. Tell them to go to https://mediaspace.ucsd.edu, click the profile icon at the top right, and select Login. After they do that, you should be able to find them as a potential collaborator.

  1. Click Add.

You can revoke collaborator permissions in a similar way.
