ServiceNow has a direct link to Sum Total / UC Learning, giving it the ability to look up course completions for any user with an Employee ID.

When developing requirements for a form or workflow, the only thing you'll need to provide is the course code. The course code can be found on the UC Learning website by searching for the title of the course you're looking to check against. 

It is a short-hypenated-description that is just above the heart icon. In this screenshot, it is is SD-EHS-0016.

 

If you aren't sure of the course code(s) you want, you can give us the information you have and we can work with the UC Learning team to get them for you, but we ask that you try to get them yourself if possible.

There are a couple of limitations to be aware of in using the course lookup integration:

• It only works with employees with an Employee ID. So, for example, if you wanted a form to check whether or not a student took a UC Learning class, and that student doesn't have an Employee ID, the lookup would fail. The same for PO Contractors that don't have an Employee ID.
• It can only run the check at a few key points during submission. On the portal form itself, we can check on a field change - such as when an employee is selected from a drop down or a checkbox is checked. Once the form is submitted, our options are limited, so we'll always encourage you to check before 'submit' is clicked and to know what your expectations are if a check fails (should we allow the submission? should a different task be created? should it fail with instructions on the class?).
