OnBase Outlook Integration Instructions


Overview

The following article outlines instructions on how to download, install, and use the Outlook Integration for OnBase. This allows users to import documents from outlook directly into OnBase.

Downloading the Outlook Integration

The Outlook Integration for OnBase can be downloaded from our OneDrive. The download will begin immediately and will save to your browser's default download directory. Note: the installer is nearly 2GB in size and may take some time to completely download.

Installing the Outlook Integration

  1. After the download is complete, please open the installer by clicking the download icon in your browser and then choosing the download. The screenshot below demonstrates this in Chrome.
  2. You may be prompted to give admin access to the installer, please confirm the prompt or work with your direct support to grant the installer admin access. You may also be presented with a message stating "Windows protected your PC". If you receive this message, click "More info" and then "Run Anyway".
  3. When the installer opens, you'll be asked to choose a directory for the files. You can leave it at its default location. Click "Next", then "Install".
  4. The installer will detect your version of outlook and install the necessary dependencies. This may take some time as the dependencies are large in size.
  5. The installer will then direct you on how to proceed with the Outlook Integration installation.
  6. When the integration installer opens, click "Next". You'll have the opportunity to choose which Microsoft Office integrations to install. If you only wish to install the Outlook Integration, you can select it as shown below. After making your selection(s), click "Next".
  7. On the IdP Server screen, choose "Next". On the Service Location screen, choose "Next". These options are automatically updated after installation.
  8. The next screen will allow you to choose additional OnBase functions to install within your integration such as Import, Document Retrieval, Workflow, etc. After making your selection(s), click "Next".
  9. The next screen will allow you to change options for the toolbar within Outlook. You can make changes or leave the default selections. After making your selection(s), click "Next".
  10. The next screen will allow you to change options for what happens when you import a document using the integration. After making your selection(s), click "Next".
  11. Click "Next" on the folder configuration screen.
  12. Finally, click "Install".
  13. After finishing the installation, you'll be given a message to restart outlook. Please close outlook and re-open it to enable the outlook ribbon.

Using the Outlook Integration

  1. The Outlook Integration only works with the "old" outlook. When using the outlook integration, you will need to turn "off" the new Outlook in the top right of your Outlook window as shown below. We are investigating the potential of a web add-in for "new" Outlook, but do not have further information at this time. This article will be updated if/when that is available.
  2. After accessing "old" Outlook, you should see an OnBase tab at the top of the ribbon within the application. Click it, then click "Login" to login to OnBase.
  3. Enter your Active Directory Credentials and complete the login request.
  4. After logging in, you will see options on the OnBase tab in Outlook that correspond to OnBase functions.
