Which Triton Student System (TSS) Role Should I Request?


Overview


Use the table below to determine which role is appropriate for your job responsibilities. If you are unsure, contact your supervisor or department security administrator. Role requests should be requested via the Campus Access Request form. 

If you are unsure which role to request, contact your supervisor or department security administrator before submitting your request.

When choosing a role, request the lowest level of access needed to perform your job responsibilities. Restricted and add-on roles should only be requested when there is a documented business need and appropriate approval.

Do I need TSS access?


You may need TSS access if your job responsibilities require you to view, update, approve or support student records, academic information, enrollment, grading, advising, financial aid, student financial information or other student administration processes that are moving into TSS.

You should review your access needs if you currently use, support or rely on information from applications that are retiring, changing or moving into TSS.

If you use a student administration application that is retiring, changing or moving into TSS, work with your supervisor or department security administrator to confirm which TSS role is appropriate.

How to request TSS access


TSS role requests must be submitted through the Campus Access Request Form (CARF).

  1. Open the Campus Access Request Form (CARF).
  2. Select the employee’s name. The form will pre-populate employee information.
  3. Choose Triton Student Systems (TSS) and uAchieve Access.
  4. Review the training information shown in the form. Required training information, including UC Learning: FERPA - Confidentiality of Student Records and Privacy Rights, privacy and BAH training, will pre-populate based on training records held for the employee. The request will not proceed if required training has not been completed. If an error message is shown, complete the required training using the links in the request form and try again.
  5. On the second page, select Add roles.
  6. Select the appropriate TSS role or roles based on the employee’s job duties.
  7. Submit the request for supervisor and data steward review.

TSS role decision tree


1. Do you only need to view student records, academic information, or student history?

If you are a faculty member or course instructor, you will automatically receive access to the TSS tools required to manage that course and perform basic student support functions, such as grading, viewing basic student information (for all main campus students), and class lists. Faculty and Instructors do NOT need to submit a CARF request for this instructional access, which includes the Record Viewer level access described below.

If you are not a faculty member or instructor of record, you should Request Record Viewer access.

This role is similar to the previous TritonLink role. It provides access to student records, academic information, student history, Find a Student and Academic History.This may be the appropriate role for many staff who advise or support students but do not need broader administrative access.This role is not appropriate for users who previously needed broader ISIS access or who need to update student records.

2. Do you only need student directory or contact information?

Request Student Contact Information.

This role is similar to previous Student Directory Access. It provides access to student contact and directory information only.

This role is not appropriate for users who need academic history, advising, enrollment or broader student record information.

3. Are you an academic advisor?

Request Advisor.

This is the standard role for most academic advisors on campus.

If you need additional access beyond the standard Advisor role, work with your supervisor or department security administrator to determine whether another role is required.

4. Are you a department chair or vice-chair who oversees grading?

Request Department Chair.

This role is for department chairpersons who oversee grading. It may also be assigned to a vice-chair who performs this function on behalf of the chair.

5. Do you work in a central office?

Request the standard role associated with your office.

Central office roles are intended for staff in the named office only. Do not request a central office role if you do not work in that office.

6. Do you work in the Division of Extended Studies (DES)?

Request the DES role associated with your functional area.

7. Are you requesting access for a student employee?

Supervisors must submit the request on behalf of the student employee.

Request the student employee role associated with the office, where applicable. Student employee roles should only be requested for student employees performing approved duties in those offices.

8. Do you need to update student records or perform specialized administrative functions?

Start with the standard role for your office or functional area and work with your supervisor to determine whether an additional role is needed.

Specialized or higher-level roles are not intended for most users. If you do not know whether you need a restricted or specialized role, it is likely not appropriate.

Holds access update:

The way holds access is assigned in CARF has changed from earlier versions of the form. If a previous access request was rejected because of the older holds access process, please resubmit the request and indicate the office for which you need access to apply or lift holds.

If you only need to view holds, all TSS roles other than Student Contact Information will be able to view holds.

9. Do you need access to restricted student information?

Restricted add-on roles provide access to sensitive student data or system configuration settings. These permissions are granted only when there is a documented business need and appropriate approval.

Restricted add-on roles should not be requested as default access.

10. Do you need access to Accounts Receivable (AR) Data?

11. Do you need Triton Enrollment Authorization (TEA) Access?

TEA will replace the Enrollment Authorization System (EASy), and will be available starting on July 13, 2026. 

For course instructors: No TEA-specific access request is needed for instructors. Instructors will receive access to review and approve requests in TEA with their TSS access.

Note: Instructors will not receive email notifications about TEA requests that require their review. They must log into TSS to see TEA notifications. Email notifications will be added in future quarters.

For staff: No TEA-specific access request is needed for existing EASy department approvers. A snapshot of EASy department approvers was taken on June 29, 2026, and those approvers will receive the equivalent access in TEA with their TSS access. 

If staffing changes occur after the snapshot date, a ServiceNow form will be used to add or remove TEA approvers until this functionality is available in TEA. This ServiceNow form will be shared when it is available.
