How to Review Kuali COI statuses in Kuali Research (KR) Records


Background:

Kuali Research (KR) is the system of records for all sponsored research projects. Kuali COI is integrated with Kuali Research to determine which sponsors required COI disclosure. At the moment, only the proposal creator and the PI listed on the record will be able to see these statuses on the Kuali Research records. The proposal creator and the PI can view the Kuali COI statuses inside Kuali Research as follows.

Login Steps:

  1. Go to Kuali Research and use your UCSD Business System credentials and Two Factor Authentication
  2. Use the clipboard and check mark icon “Common Tasks” to access the search pages for Proposal Development, Institutional Proposal, and Award records

For Kuali Research (KR) Proposal Development (PD) Projects/Records (viewable for PHS, non-PHS, and 700-U projects):

  1. Go to Key Personnel à Personnel in KR (COI statuses per researcher)

For Kuali Research (KR) Institutional Proposal (IP)/Award Projects/Records (viewable for only PHS and non-PHS):

  1. Go to Contacts tab in KR (COI statuses per researcher)

Note: For all records, IP does not update with Kuali COI status.

There are three listed COI statuses listed under researchers in Kuali Research:  

 

 

 

Examples of Possible Statuses and How to Interpret:

To understand COI status, we recommend that users with access to KR records use the COI Project status and COI Disposition status to determine if COI has been submitted for that particular project/record and to determine the review results of COI for that project/record, respectively.

For Federal projects, every person listed in Key Personnel tab (PD) or Contacts tab (Award) must have an “Approved”, “Managed”, or “No Conflict” COI Project Disposition in order for funds to be released.

 

Project is active in Kuali COI, update required by Investigator

This researcher is currently working on their disclosure (COI Annual Disclosure Status: In Progress) and the current disclosure they are working on contains this particular project. This means the disclosure has yet to be submitted for this particular project. An update is needed for this particular project (COI Project Status: Update Needed and COI Project Disposition: None) because there is no disclosure submitted for the COI office to disposition.

 

Researcher with federal funding has never disclosed (first time using Kuali COI)

              This researcher has not yet started their federal COI disclosure portfolio (COI Annual Disclosure Status: Not Yet Disclosed). A disclosure is needed as this researcher is listed on this project (COI Project Status: Update Needed) but the disclosure has not yet been submitted (COI Project Disposition: None).

 

Researcher has submitted a disclosure but it does not contain this project

              This researcher has submitted a disclosure in the system (COI Annual Disclosure Status: Submitted for Approval) but the disclosure portfolio that was submitted does not contain this particular project (COI Project Status: Update Needed). Because the disclosure for this project is not in the portfolio submitted, there is no disposition (COI Project Disposition: None).

Researcher has submitted a disclosure and contains this project

              This researcher has submitted a disclosure in the system (COI Annual Disclosure Status: Submitted for Approval) and the disclosure submitted includes this project (COI Project Status: Up to Date). Even though the project disclosure has been submitted, the COI has yet to finish review (COI Project Disposition: None).

 

Researcher has submitted a new disclosure, and this project was previously disclosed and reviewed on        

              This researcher has submitted a disclosure in the system (COI Annual Disclosure Status: Submitted for Approval) that contains this project (COI Project Status: Up To Date). COI review is complete for this project (COI Project Disposition: Approved).

 

Researcher has submitted a disclosure and there is no conflict

This researcher has submitted a disclosure and it has been approved (COI Annual Disclosure Status: Approved). This approved disclosure contains this particular project (COI Project Status: Up To Date) and the COI for this particular project has been approved (COI Project Disposition: No Conflict).

 

Researcher has submitted a disclosure but not needed for this project

              This researcher’s disclosure portfolio has been approved (COI Annual Disclosure Status: Approved). This particular project does not need the researcher to update their disclosure (COI Project Status: Update Not Required). Since a disclosure portfolio has not been submitted with this project, there is no disposition (COI Project Disposition: None); however no disposition is needed as an update is not required at this time.

Researcher needs to update disclosure but not update for this project

              This researcher’s disclosure portfolio needs to be updated (COI Annual Disclosure Status: Update Required).  This particular project is not one of the projects that requires the researcher to update their disclosure (COI Project Status: Update Not Required).  Since the researcher does not need to update their disclosure portfolio for this project, no disclosure needs to be submitted for this particular project and such, there is no disposition set for this project (COI Project Disposition: None).  However, the researcher does need to log into Kuali COI to update their disclosure for another project.
