How to Request Employee Activity Hub (EAH) Row-Level Access


Overview


This article serves as a step-by-step guide on how to complete the form(s) to request Employee Activity Hub row-level (department-specific) access. This form is intended for users who wish to access reports using EAH data for the departments they request.

Essential Information


  • EAH data access is determined by user access to specific departments, not Financial Units. Multiple departments and levels of the Department Hierarchy can be selected when requesting access.
  • “Row-level access” means department-specific access in EAH.
  • Following the submission of this form, the request for access to the Employee Activity Hub must be approved by your manager and then the EAH data steward.
  • If a user changes departments, this form can be re-submitted to request new department assignment(s).
  • This form can be submitted for yourself or submitted on behalf of someone else.
  • UCPath Transactors: Users will have their access mirrored to EAH for the department(s) that they transact on within UCPath.

Next Steps


EAH report consumers should not submit the UCPath Transactor Access Request Form for the purposes of acquiring or expanding EAH department data access. EAH department data access is provisioned through the two methods listed below.

Method #1: Inherited Access via UCPath

UCPath Transactors have access to department(s) that they transact on within UCPath. Users’ access to these department(s) are carried over and mirrored to EAH.

No action is required for Method #1. For users who require reporting visibility to departments beyond those inherited from UCPath transactor row-level access, please proceed to Method #2 below.

Method #2: Submit the Employee Activity Hub Row Level Access Request Form

  1. Click the link to be directed to the Employee Activity Hub Row Level Access Request Form.

  2. The first question asks to ‘Please check the type of access you are requesting’. Select the appropriate dropdown option for the user requesting access:
    1. If the user only needs department data access for reports using EAH data and does not intend to develop reports, the user must select ‘I already have access to the reports but need additional department data access’.
    2. If the user intends to develop reports using EAH data, select ‘EAH Report Developer Access’ where you will be re-directed to a different form.



  3. The second question asks, ‘Who is this request for?’. Search for and select the desired user within the drop-down list.
    1. You may search by first name and last name, or by the user’s @ucsd.edu email address.
    2. The fields for Email, Supervisor, AD User Name, and Department will auto-populate with the user’s information upon selection.
    3. Enter the user’s information for Job Title.



  4. Under ‘Please explain your need for access’, provide a reason for the request.



  5. Check the acknowledgement box verifying that the user has completed the required trainings in UC Learning.
    1. The form will automatically check the user’s completion status for the required trainings in UC Learning.
    2. If the user has not completed training, this prerequisite can be satisfied by completing the on-demand ‘Privacy at UC San Diego’ eCourse in UC Learning. This eCourse will take approximately 60 minutes to complete.




  6. Enter the specific department(s) and/or level(s) the user requires access to. Multiple departments and level(s) can be selected. You may search by department name or by department code. The Department Hierarchy is available in the form to identify the various levels and departments within the UC San Diego Campus and Medical Center business units.



  7. Check the acknowledgement box for the UCSD Standard Data Use Statement and click ‘Submit’.



  8. Upon submission, an approval request will be sent via email to your manager and then the EAH data steward. The user will receive a confirmation email once EAH access has been approved and provisioned. Following this confirmation email, the user’s access should be active within 24 hours.
    1. If requesting access to a non-Production environment (e.g., HANA PLUAT), please tag busintel@ucsd.edu in your request. The BIA team at IT Services will need to run a special step to manually copy the security table from Production to non-Production.
