How to Process Hire, Rehire, and Concurrent Hires in UCPath


OVERVIEW


Smart HR Templates are used to hire employees. The Full Hire Template creates a new Empl Record. The Rehire Template reuses an existing inactive Empl Record. And the Concurrent Hire Template creates an additional new Empl Record. 

When to use

  1. Hire a person who is new to UC San Diego using a Full Hire Template
    1. If the employee previously worked at another UC location use the Full Hire Template using their existing UCPath Empl ID and the appropriate Rehire Reason Code.  
  2. Rehire an employee who previously worked at UC San Diego using a Rehire Template
    • If the employee previously worked at UC San Diego prior to UCPath conversion use the Full Hire Template with the appropriate Rehire Reason Code.
    • If the previous Empl Records are all in a different position type (i.e. all Staff vs all Academic), use the Full Hire Template with the appropriate Rehire Reason Code (e.g. the employee only has 2 terminated Staff Empl Records and now you need to hire them into an Academic position, use the Full Hire Template with a Rehire Reason Code, this will create a new Empl Record)
    • If the only previous record you see is a Contingent Worker instance, use a Full Hire Template

  3. Hire an employee who has another active job at UC San Diego using a Concurrent Hire Template
  4. Hire an employee who has another active job at another UC location using a Concurrent Hire Template
